PRIVACY NOTICE REGARDING THE PROTECTION OF PERSONAL DATA

This privacy notice is intended to familiarize you with the rules we follow when collecting and processing your personal data in cases where you express interest in enrolling in a cultural exchange program with the USA, such as Summer Work & Travel, Internship, or Camp Exchange, when you are an applicant or participant in any of the programs mentioned above, or when you are interested in or have signed an agreement with us for the preparation and submission of your U.S. tax return, or simply when you visit our cultural exchange program website – www.gotosua.ro.
Here you can find information about the personal data we collect; how and why we use it; to whom and how we pass it on; the rights you have as a data subject; as well as how to contact us or the data protection supervisory authority.
- WHO IS THE TARGET AUDIENCE OF THIS DOCUMENT?
This notice is intended for all natural persons who are interested in purchasing (“Interested Parties”) and/or have used or will use (“Clients”) one or more services we offer:
– The Cultural Exchange Program in the United States of America: Summer Work and Travel USA, Internship USA, Professional Career Training USA, or Camp Exchange USA;
– Services related to the cultural exchange program – travel arrangements, U.S. visa application, etc.;
– The U.S. tax return service – for completing and submitting U.S. tax forms.
The notice is also intended for visitors to our websites www.gtsturism.ro and www.gotosua.ro, whether or not they order services there, as well as natural persons whose information we have received from you as our Client regarding the services listed above.
- WHO ARE WE?
We are GTS International Romania SRL, hereinafter referred to as “GTS,” headquartered in Bucharest, Bd. Regina Elisabeta, No. 54, Sector 5, registered with the Trade Registry under no. J40/2551/2003, Tax Code 15226775. We collect and process your personal data as a data controller in accordance with Regulation (EU) 2016/679 on data protection. We own and manage the website www.gotosua.ro, dedicated to cultural exchange programs.

- WHAT PERSONAL DATA DO WE COLLECT AND WHY DO WE NEED IT?
Depending on the service under Article 2 of this document that you use or are interested in, we collect and process different categories of personal data needed to provide you with the service and to offer further information about it. Regarding the requirements that must be fulfilled to provide some of our services described in Article 2, we also process personal data of third parties that you disclose to us as our Client. In addition, we collect personal information from visitors to our websites. In all these cases, we may also process the personal data collected to offer better services to our current and potential clients, as well as to protect our legitimate rights and interests.
4.1. Personal data we process when you participate in cultural exchange programs
Interested Parties
If you have expressed interest in a cultural exchange program, we collect and process your name, phone number, and email address. We may also collect information about your preferred destinations in the USA. We need this data to send you information about the program, such as terms and conditions, pricing and promotions, job offers, etc. The legal basis for processing this data is your consent, which you may withdraw at any time.
Clients
When signing an agreement with GTS for the preparation of your application and participation in a cultural exchange program in the USA, we collect the following personal information:
– At the agreement stage: full name, mobile phone number, email, date of birth, national ID, nationality, address, form of study, university, major and year of study, English language proficiency level, work experience, information about previous participation in U.S. cultural exchange programs or other trips to the USA.
– At the stage of submitting the application to the Sponsor: in addition to the above data, we also collect passport information, additional information regarding your student status, information about the employment contract with your U.S. employer, emergency contact details, health information, etc.
After your application is approved, we process information such as your DS-2019 number, U.S. visa number, issuance and expiration dates, and your insurance policy number.
4.2. Services related to cultural exchange programs
Documents required for obtaining a visa
To assist you with U.S. visa preparation and application, we collect marital status, secondary education details, military service (for male applicants), and various personal data including sensitive data. Sensitive data is processed only with your explicit consent.
Booking and issuing airline tickets
We collect full name, mobile phone number, and email during reservation. For issuing tickets, we collect ISIC number, DS-2019 number, nationality, date of birth, passport information, visa details, accommodation address, national ID, physical address, and loyalty program ID. Flight preferences may reveal sensitive data, processed only with explicit consent.
4.3. Personal data processed for U.S. tax return services
Interested Parties
We process: name, phone number, email, U.S. state of work, income, and taxes withheld.
Clients
For tax services, we process: passport number, visa type, U.S. sponsor, Social Security Number, employer data, bank account (if applicable), and copies of ID documents, visa, DS-2019, W-2 forms, etc.
4.4. Data we process when you visit our websites
We collect cookie-based data: essential cookies, analytical cookies, preference cookies, and advertising cookies.
4.6. Third-party data we process
When a Client provides third-party data (parents, siblings, etc.), we process only necessary data, assuming the Client obtained consent.
- HOW WE USE YOUR PERSONAL DATA
We process your data only for the purposes stated in this notice. We do not use profiling or automated decision-making.
- TO WHOM WE TRANSFER YOUR PERSONAL DATA
We transfer data to U.S. sponsors, U.S. Embassy, tax authorities, airlines, insurers, reservation systems, service providers, and advertising networks (if cookies were accepted).
- HOW LONG WE STORE PERSONAL DATA
Retention varies from 2 months to 5 years depending on data category and service, or longer if required by law.
- WILL WE TRANSFER YOUR DATA OUTSIDE THE EU?
We transfer data to the USA when necessary for programs or tax services, based on contracts or your explicit consent.
- HOW WE PROTECT YOUR PERSONAL DATA
We apply strong technical and organizational security measures, audits, restricted access, and secure service providers.
- YOUR RIGHTS AS A DATA SUBJECT
You may exercise your rights by submitting a written, signed request to GTS or our Data Protection Officer. Electronic requests must be signed with a qualified electronic signature. We respond within one month.
